Practice management for South African OT practices

Less admin. More time for your clients.

PPM keeps your diary, client files and session notes in one place, and helps draft the paperwork from a session recording. You stay in charge of every word. Processed in South Africa.

Functional limitations

Client cannot stand for longer than 30 minutes.

Fictional example. Every line links to the recording, and anything it can't back up is flagged.

Why PPM exists

Born in an OT practice. Built for the hours after the last client.

Less time typing up sessions means more time with clients, and more evenings back.

  • A helping hand, not a replacement.

PPM takes on the admin. You decide what goes in the record, and nothing AI-written is saved until you approve it.

  • It stays in South Africa.

Records and recordings are stored in South Africa, and transcription and drafting run here too. No recording goes to an overseas AI service.

  • Nothing disappears.

Every version of a note is kept, every change is logged, and corrections to an approved note are dated addenda.

Everything the practice runs on, in one place.

In pilot with one practice. Visuals use fictional data.

Shared practice calendar

Colour-coded per therapist, sessions with more than one therapist, and a phone agenda view.

Consent, kept simple

Record who agreed to what, and when. Nothing is ever overwritten.

Draft notes you can check

Pick a template. Every sentence links to its source. Approve, edit or reject.

Supervised notes need the supervisor's approval before signing.

Record on your phone

The PPM app records the session and uploads it securely, picking up where it left off if the signal drops.

Writes like you

PPM learns your phrasing and layout from notes you choose, and suggests rules you accept or reject.

Suggested rule
Write “client”, never “patient”.

Every change logged

Who, what and when, for every client record. Each practice's data is isolated at database level.

How it works

From recording to approved note in four steps.

  1. 01

    Record

After consent, record the session on your phone. The audio uploads to storage in South Africa.

  2. 02

    Transcribe

PPM's own hardware in South Africa transcribes it in Afrikaans or English, speakers separated.

  3. 03

    Check

Read the draft against the audio. Every sentence shows where it came from; unsupported ones are flagged.

  4. 04

    Approve

You approve it and the note locks. Later corrections are added as dated addenda.

Clients, or their parent or guardian, consent first. Declining changes nothing about their care: you write the note yourself.

The AI, plainly

A clerk, not a clinician.

PPM uses open models running on its own hardware in South Africa: Whisper for transcription and an open-weight language model for drafting.

What it does

  • Transcribes the recording, speakers separated.
  • Drafts structured notes in the template you choose.
  • Links every drafted sentence to its moment in the recording.
  • Flags sentences it cannot support from the recording.

What it never does

  • Diagnose, recommend treatment or decide anything about a client.
  • Approve anything. Only a registered therapist can approve a note.
  • Write your medico-legal opinion. The report is yours.
  • Send recordings or transcripts to an overseas AI provider.
  • Train a shared model on client records.

Honest limits

Afrikaans is less accurate than English.

Switching languages mid-session can confuse it.

A third speaker can blur the split.

Drafts can miss things. That is why you check and approve.

Compliance

Built around the HPCSA and POPIA.

We read the rules before we built. PPM is a tool: the practice stays the responsible party for its records, and the therapist stays responsible for every clinical decision.

  • HPCSA Booklet 20 · 3.7, 9.1, 9.2

The therapist makes the final decision. AI only drafts.

    In place
  • HPCSA Booklet 20 · 6.2

Clients are told about AI before it is used, and can decline without losing care.

Consents in placeEnforcement before first real client
  • HPCSA Booklet 20 · 6.3, 6.7

A one-page client information sheet explaining the AI, its limits and its safeguards.

    Being built
  • HPCSA Booklet 9 · 8.1 to 8.4

Nothing is removed from the record. Corrections are dated and signed.

Pilot places are limited.

For small South African practices, one to five therapists, starting with occupational therapy. Pilot practices work directly with the people building PPM and have a say in what comes next.
